What Does a QuickBooks Bookkeeping Engagement Deliver Each Month?
A QuickBooks bookkeeping engagement covers every task required to keep your financial records current and accurate inside your QuickBooks Online file: connecting and reconciling bank feeds, categorizing every transaction, reconciling all accounts to bank and credit card statements, and generating a P&L, balance sheet, and cash flow statement.
At Simple Books Now, the QuickBooks file is Luisa's working tool — not a report she sees once a year. Throughout the month, she monitors transactions, flags unusual items, and keeps the file current so month-end close is fast and the numbers are reliable when you need them.
Because Luisa is a Federally authorized Enrolled Agent, she reconciles your QuickBooks accounts with your tax position in mind. Deductions are captured as they occur, not reconstructed at year-end from a file full of uncategorized transactions.
Signs Your QuickBooks File Needs a Professional
- Transactions are sitting in "Uncategorized Expenses" or "Ask My Accountant"
- Your bank and credit card accounts are months behind on reconciliation
- Your P&L balance doesn't match what you think you made
- Your CPA had to make large adjusting entries at tax time
- You have duplicate transactions from multiple bank feed imports
- You're not sure which QuickBooks version or plan you actually need
- Vendors or customers have duplicated entries from improper setup
What Does QuickBooks Bookkeeping Include Every Month?
Bank Feed Setup & Reconciliation
All bank, credit card, and payment processor accounts connected and reconciled monthly — every transaction matched to the statement, every discrepancy investigated.
Transaction Categorization
Every transaction categorized to the correct account in your chart of accounts — with consistent rules applied so your P&L is comparable month over month.
Monthly Financial Statements
Profit and loss, balance sheet, and cash flow statement delivered inside your QuickBooks file by the 15th of the following month, every month without prompting.
Accounts Payable & Receivable
Vendor bills entered and aged, customer invoices tracked, and AR aging reported monthly so you always know what you owe and what is owed to you.
Year-End Tax Readiness
Clean, reconciled QuickBooks file at year-end means your tax return can be prepared from accurate records — no reconstruction, no adjusting entries, no scramble.
Tax-Aware Categorization
Because your bookkeeper is also a Federally authorized Enrolled Agent, every categorization decision is made with your tax position in mind — deductions captured as they occur.
Why Your QuickBooks Bookkeeper Should Also Be a Federally Authorized Enrolled Agent
A bookkeeper without tax credentials maintains your records. A Federally authorized Enrolled Agent maintains your records and ensures every decision in your QuickBooks file reflects your actual tax position — the two cannot be fully separated.
When your bookkeeper and your tax advisor are the same person, there is no year-end translation. The QuickBooks file Luisa maintains all year feeds directly into the return she prepares. No adjusting entries. No catching up. No paying a CPA to clean up a file that was maintained by someone who didn't understand the tax implications of how it was categorized.

QuickBooks Online Simple Start covers basic income and expense tracking for sole proprietors. QuickBooks Online Essentials adds bill management and time tracking. QuickBooks Online Plus adds inventory tracking and project profitability. Most small businesses with 1–10 employees need Essentials or Plus. Luisa will recommend the right plan for your business during the initial consultation — and set it up correctly from the start so you're not paying for features you don't use or missing ones you need.

QuickBooks Bookkeeping FAQ
Do I need to already have QuickBooks to work with Simple Books Now?
No. If you don't have QuickBooks Online, Luisa will set up the correct plan and configure it properly for your business type before beginning monthly bookkeeping. If you already have a QuickBooks file — clean or messy — she can work within it and clean it up as part of the onboarding.
What if my QuickBooks is already set up but hasn't been reconciled in months?
That falls under catch-up bookkeeping. Luisa will assess how far behind the file is, quote a fixed price to bring it current, and then transition to monthly ongoing bookkeeping. See Catch-Up Bookkeeping.
Can you work inside my existing QuickBooks account without taking it over?
Yes. You retain full ownership and access to your QuickBooks account. Simple Books Now is added as an accountant user — meaning Luisa can work in the file without you losing any access or control. You can log in and run reports at any time.
What is the difference between QuickBooks Online and QuickBooks Desktop?
QuickBooks Desktop is the older, locally-installed version. QuickBooks Online is the cloud-based version — accessible from any browser, with automatic bank feeds and accountant access. Simple Books Now works with QuickBooks Online. For clients still on Desktop, migration to QBO is recommended and can be done as part of onboarding.
Will my CPA or tax preparer be able to access my QuickBooks file?
Yes. Once the file is clean and current, you can grant your CPA or tax preparer accountant access for year-end review. If Simple Books Now prepares both the books and the tax return, no separate access grant is needed.
What happens if I get an IRS notice about something in my QuickBooks-based return?
Because Luisa is a Federally authorized Enrolled Agent, she can represent you directly before the IRS for any matter related to a return she prepared. She will respond to notices, provide documentation, and negotiate with the IRS on your behalf.
